How does this calculator work?
Divide your guest count by the seats per table and round up to get the tables needed. For a head table, add 1 more. For example, 50 guests at 8 seats per table needs ⌈50 ÷ 8⌉ = 7 tables with 6 spare seats.
Formula
How this is calculated
The calculator subtracts any head-table guests from the total, then divides the remaining guests by the seats per regular table and rounds up to the nearest whole table (ceiling division). You can never seat half a table, so any partial table counts as a full one — which also gives you the spare seats.
A head table is treated as its own separate table, so it adds 1 to the total count regardless of how many guests sit there. If you have no head table, simply leave that field at 0.
The table-shape selector is informational: round tables encourage conversation but need more floor space per guest (typically 60–72 inches diameter for 8 guests), while rectangular banquet tables pack more tightly. Use the shape to remind yourself of layout constraints, but it does not change the count.
Frequently asked questions
A 60-inch (5 ft) round table typically seats 8; a 72-inch (6 ft) round can seat up to 10. The default of 8 seats per table is a good starting point for most events.
Always round up. A calculator giving you 6.25 tables means you need 7 — you cannot put people on a fraction of a table. The spare seats on the last table give some flexibility for last-minute additions.
A head table is a special table for a wedding party, speakers or guests of honour, usually at the front of the room. Leave the head-table field at 0 if you are not having one and all guests will be seated at regular tables.
