Quick answer

How does this calculator work?

For G guests over H hours, plan about 6 appetizer pieces and 0.5 lb of main food per guest (1 lb for a full meal), roughly G × H drink servings, 1 lb of ice per guest, and one dessert per guest. Round up for hot weather or heavy drinkers.

Formula
Appetizers = guests × 6 pieces; Main food = guests × 0.5 lb (1 lb for a full meal); Drinks = guests × hours servings; Ice = guests × 1 lb; Dessert = guests × 1 serving
How this is calculated

The calculator scales standard hosting rules of thumb by your number of guests (G) and party length in hours (H). Appetizers are estimated at 6 pieces per guest, which comfortably covers grazing across the event. Main food is set at about 0.5 lb per guest for light bites, or 1 lb per guest when you choose a full meal, reflecting that seated dinners consume more.

Drinks follow the common catering rule of roughly one serving per guest in the first hour plus one per guest for each additional hour. That simplifies to guests × hours total servings (alcoholic or non-alcoholic combined). Ice is estimated at about 1 lb per guest for chilling drinks, and dessert at one serving per guest.

These are planning estimates, not exact requirements. Real consumption varies with weather, time of day, crowd, and whether a full bar is served, so round up and buy a buffer for heavy drinkers or hot weather. All quantities assume guests stay for most of the event; for drop-in events you can scale down. Inputs must be positive numbers, or no result is shown.

Frequently asked questions

A common rule is one drink per guest for the first hour and one per guest for each additional hour, so a 4-hour party for 20 guests needs about 80 servings. Buy a little extra for heavy drinkers and hot weather.

For light bites, plan about 6 appetizer pieces and 0.5 lb of main food per guest. For a full sit-down meal, increase the main food to about 1 lb per guest.

Roughly 1 lb of ice per guest is a safe starting point for chilling drinks. In warm weather or for a full bar with mixed drinks, increase that to 1.5–2 lb per guest.
